Erasmus+ KA1 host and course provider in Warsaw

Two offers, and which one fits your project

We are a receiving organisation in Warsaw for Erasmus+ KA1 adult education mobilities. There are two ways to work with us and they are funded differently, so it is worth deciding which one you are asking about before you write to us.

Structured courses. Staff of an adult education organisation come to Warsaw for a course of 2 to 10 days. You pay a course fee per participant per day. The programme is written, dated and signed before anyone travels.

Job shadowing and hosting. Your staff spend 2 to 60 days observing our team at work, led by a named mentor, with a maximum of two people shadowing one mentor at a time. There is no course fee. What we agree instead is a share of the organisational support your project already receives, and we agree it in writing before the mobility starts.

One limit decides which budget line you are spending, so we state it plainly: a commercial course cannot be bought for adult learner group mobility. The Programme does not support the purchase of commercially available training services for learners. Our buyer is always a staff development budget. If you are moving learners rather than staff we can still host you, but as a hosted visit without a course fee, designed as learner mobility rather than as a purchased course.

Two other activity types are not ours to offer at all. Inviting an expert and hosting teachers in training both take place at your premises, not ours. Those would mean one of our people flying to you, which is a different conversation.

Four things we can teach, and nothing else

We are a digital agency, and we would rather list four themes we can defend in an audit than a catalogue we cannot. Each course is built around one of these.

Digital learner recruitment for education organisations. A participant leaves able to plan and run a campaign that fills a course or a programme, from audience and offer through to the enquiry form and the follow-up.

Running a small organisation's social media as a system. A participant leaves able to operate a monthly content system, from planning and production to publishing and review, with roles and checklists a two-person team can actually keep up.

Selling courses online: e-commerce and booking mechanics. A participant leaves able to set up an online product page, a checkout or booking flow, and the tracking behind them. The honest limit: we apply e-commerce mechanics to courses. We have not built a course platform and do not claim to have one.

Visual storytelling for dissemination. A participant leaves able to plan, shoot and edit the photo and video material a project needs to meet its dissemination obligation, using a phone and free tools.

If what you need is pedagogy, andragogy, learner assessment, basic skills or language teaching, we are the wrong host and we will tell you so rather than take the booking.

What a course day contains

Every course day carries at least five hours of learning activity. That is the KA1 quality standard and we schedule to it rather than to something close to it.

Before you apply you receive a written programme: session by session, with the learning outcomes each session serves and the total contact hours. You can attach it to your application. It is the same document we then deliver against, and for a course the signed programme can stand in place of a learning agreement.

Sessions are practical. Participants work on their own organisation's material wherever they can, so that what leaves Warsaw is a draft campaign, a content calendar or a shot list rather than a folder of slides.

At the end each participant receives our attendance certificate showing the dates, the hours and the content covered, and we complete the host section of the Europass Mobility document your project issues.

One named person here answers your enquiries and replies within one business day, from the first question through to the paperwork after the mobility.

Who delivers the week

The people who would teach you are the people who do the work. None of them is presented here as a qualified trainer, because none of them holds a teaching qualification. What they hold is delivery experience with paying clients.

Tunç Meriç, Director. Runs the agency and its cross-border work, and is the contact for scope, fees and the paperwork a sending organisation needs.

Mariusz Filerajs, Brand Strategist. Works on positioning and messaging: what an organisation says, to whom, and why anyone should act on it.

Dominika Konopko, Brand Activation Manager. Turns a plan into a running campaign and keeps it running, across channels and calendars and the day-to-day of activation.

Natalia Fostica, Graphic Designer. Produces the visual material: layouts, templates and assets a small team can reuse without a designer on hand.

Cansu Güvener, Brand Communication Manager. Handles communication and social media delivery in Turkish and in English.

The team is part Polish and part Turkish and works in both markets. A week in Warsaw is delivered by people who work in Poland. Courses run in English, and two of the people above speak Turkish, so questions and materials can be handled in Turkish where that helps.

The fee, and what it does not include

The Erasmus+ course fee unit cost is €80 per participant per day, and a course runs from 2 to 10 days. That is the basis we invoice on. We publish it because it is the rate the Programme sets rather than a number we invented, so you can budget against it while you are still drafting.

The fee covers the course: the programme, the trainers, the room and the materials.

The fee does not cover accommodation, meals, travel, insurance or visa costs. None of those appears on our invoice and none of them should be assumed to be included.

Accommodation we deliberately keep at arm's length. We will recommend hotels within walking distance of the venue and tell you roughly what they cost, but we do not book them and we do not invoice them. Your participants book their own rooms, and the invoice you receive from us is for training only.

Rates, calls and deadlines come from the Programme and from your own National Agency, not from us. Check the figures and the dates with your National Agency before you build your budget.

Dates, cancellation and visas

We do not publish a fixed course calendar and we are not going to invent one. Dates are agreed around your project calendar: you tell us the window your grant allows, we propose dates inside it, and we confirm the date in writing before any participant books travel.

You may cancel at no cost if the fee, the dates, the content or the venue change materially after we have confirmed them. That is your protection against a host who quietly rewrites the offer once the grant is signed.

If a participant is refused a visa we refund that participant's fee, move them to another date, or accept a substitute participant. The choice is yours.

Turkish participants should plan on roughly 10 to 12 weeks between commitment and travel for the visa. As soon as a booking is confirmed we issue a per-participant invitation letter on our letterhead, naming the participant, the dates and the venue.

What we are not, and what stays with you

We hold no Erasmus+ accreditation and no quality mark, we are not an awarding body, and the certificate we issue is our own attendance certificate and nothing more. We make no claim to pedagogy, andragogy or teacher training expertise. Our Erasmus Organisation ID is E10270563. None of this is a barrier to hosting you: the Programme treats course providers as independent service providers in a free market, and a receiving organisation needs no accreditation.

We also do not take over your project management. Your application, your contact with your National Agency, your reporting and your choice of activity type, duration and host all stay with you. The KA1 quality standards require that, and a host offering to do it for you is offering you a problem.

What we do is narrower and more useful: we host, we teach the four themes above, and we hand you the documents your project needs on the date it needs them.
