Internship — Office and Client Assistant

Be the person who knows where everything is: the meeting notes, the missing invoice, the client who has not replied, the thing that was promised on Tuesday.

Every placement on this page is unpaid. They are student and graduate practice placements — for university credit where your programme allows it — and we put that first because it is the first thing you need to know. The agreement is signed with you, and with your university where there is one, before your first day.

Commitment
Length and weekly hours are agreed with you before you start, around your studies.
Where
Our Warsaw office, with some days from home once you have found your feet.
Working languages
English is the language of the team. Polish or Turkish on top of it is a real advantage on most of our accounts, and neither is a requirement.

A small agency runs on whoever is holding the thread. This placement is the one that sees all of it — new business, client reporting, the paperwork behind a company someone is setting up in Poland — and it is the best view of how an agency actually works that we can give anyone.

What you would do

  • Take real notes in client calls and turn them into what was agreed and who owes what
  • Chase the things that are late — ours and the client’s — politely and on time
  • Keep offers, contracts and invoices where the next person can find them
  • Help prepare offers and simple reports from a template
  • Handle the office’s small logistics: suppliers, couriers, visitors, a festival stand once in a while

Who we are looking for

  • You write a clear email in English, and in Polish or Turkish if you have it
  • You are comfortable in a spreadsheet and unbothered by a form
  • You notice the thing nobody assigned and say so
  • Discretion. You will see client numbers and client problems.

What you get out of it

  • A working understanding of how an agency prices, contracts and delivers
  • Exposure to Polish company paperwork from the inside, which is rarer than it sounds
  • A written reference at the end, and a straight answer about your work all the way through

This is an assistant role, not a coffee run with a job title. If a week goes by where you learned nothing, that is our failure and we want to hear about it.

What these are not

Not a paid job. Not visa or work-permit sponsorship — you need to already have the right to study or stay in Poland. And not a promise of employment afterwards: if a role opens and you are the right person for it we will say so, but come for the placement, not for the promise.

How to apply

Email us with the role in the subject line. Send a CV, and — this counts for more than the CV — two or three things you have actually made: an account you ran, a poster, a page you wrote, a site you built. Two short paragraphs on why this agency, in English, Polish or Turkish. We read everything and answer within a working week, including the no.
